The Job
We are searching for an HR Project Specialist (Volunteer) who will handle the key responsibilities outlined below by dedicating 5 - 10 hours weekly of volunteer time.
The HR Project Specialist (Volunteer) is responsible for revising and improving HR processes for efficiency and operational excellence as well as planning, coordinating, and delivering HR-related projects that improve HR processes, systems, and service delivery. The ideal candidate combines strong project management skills, HR operational knowledge, and systems/process improvement expertise to help drive efficiency, compliance, and a positive volunteer experience.
KEY RESPONSIBILITIES
HR Project Management
- Plan, manage, and deliver HR projects from initiation through completion (e.g., HRIS implementations, policy updates, program rollouts).
- Develop project plans, timelines, milestones, and deliverables in collaboration with HR and business stakeholders.
- Track project progress, risks, dependencies, and issues; escalate as required.
- Coordinate cross-functional teams and departments.
- Prepare project updates, reports, and presentations for HR leadership.
HR Process Improvement
- Review and document existing HR processes (hire-to-exit, onboarding, performance, etc.).
- Identify inefficiencies, risks, and opportunities for automation or simplification.
- Design and implement improved HR workflows, controls, and standard operating procedures.
- Support continuous improvement initiatives using Lean, process mapping, or similar methodologies.
- Ensure HR processes align with employment legislation, internal policies, and best practices.
HR Systems & HRIS Support
- Support the implementation, configuration, and optimization of HR systems (HRIS, performance tools).
- Act as a liaison between HR users and IT or system vendors.
- Assist with system testing, data validation, user acceptance testing (UAT), and issue resolution.
- Maintain system documentation, user guides, and process manuals.
- Support HR reporting, dashboards, and data integrity initiatives.
Change Management & Communication
- Support change management activities related to HR projects and system changes.
- Develop communication materials, training content, and user support resources.
- Coordinate training sessions for HR team members and end users.
- Promote adoption of new HR processes and systems.
Requirements
Qualifications
- Interest in supporting community, social, or charitable initiatives.
- Bachelor’s degree in Human Resources, Business Administration, Project Management, or a related field.
- 1 – 5 years of experience in HR operations, HR project coordination, or HR systems support.
- Experience supporting HR projects such as HRIS implementations, process redesign, or program rollouts will be an added advantage.
- Strong understanding of core HR processes and employment lifecycle.
